Golden thread drawing register: what it is and what goes in it

The drawing register is the index of every drawing held in the golden thread: number, title, revision, issue date and status. It is the document that proves the right drawing was in force at the right time, and it must survive the whole life of the building.

Why the register matters

A drawing register records, for every drawing, its unique number, title, revision, issue date and status. In the golden thread it answers the question the regulator and the accountable person most need answered: which version of this drawing is current?

The 2023 procedures regulations require previous versions of updated documents to remain part of the thread. The register is what makes that visible: superseded revisions stay accessible, but the register shows what is in force now.

What usually goes wrong

  • Issue sheets are paper - registers exist as old transmittal sheets, never digitised
  • Revisions overwritten - new versions replace old files instead of sitting alongside them
  • No status field - nothing distinguishes issued-for-construction from superseded
  • Inconsistent numbering - the same drawing referenced differently across folders
  • No approval trail - who signed off the issue is unrecorded

Questions, answered

Do previous revisions of drawings stay in the golden thread?

Yes. Regulation 31 of the 2023 procedures regulations is explicit: golden thread information includes previous versions of any document which has been updated. Superseded drawings are archived and marked, not deleted.

What status codes should a drawing register use?

Suitability codes describe the permitted use of information. Record the code and its meaning from the project's agreed information standard, together with the revision and approval record. Do not treat S4 as a general instruction to use a drawing for construction.

What if the drawing register for our building no longer exists?

It can be reconstructed from the drawings themselves and any issue sheets, transmittals or CDE audit history that survive. As-built drawings and their revision marks are the starting point; the reconstructed register should record what was rebuilt from and any gaps.

Does every drawing need to be in the golden thread?

The golden thread must hold the information needed to understand the building and keep it safe. Practically that means the approved design set, as-built drawings and fire/structural safety-critical drawings, with everything else indexed so it can be found if needed.

How is the register kept up to date?

Every new issue or revision updates the register in the same step, with the superseded revision archived. If no one owns that process, the register decays within months; the accountable person needs a defined record-keeping process, not just a spreadsheet.
